We handle the information you share with us with the utmost care, in accordance with the General Data Protection Regulation (GDPR). This privacy statement outlines how we handle your personal data across all our processes and services.

What personal data do we process and why?

Shaam Dental Clinic collects and processes personal data relating to various individuals, including patients, website visitors, employees (current and former), job applicants and external partners. We process this data only for specific purposes related to our work as a dental practice.

When you register with us as a patient, we ask for details such as your name, date of birth, citizen service number (BSN), email address, telephone number, preferred form of address and full address. For patients, family members’ details may also be recorded if desired. Medical data is processed in strict compliance with professional confidentiality and legal requirements. Contact details are used to manage appointments and communication, which are important for the best possible care. For financial administration, we share the necessary data with health insurers to submit claims for treatments.

We also process information for internal research and quality management to continually improve our services. This includes handling complaints and reports.

CCTV surveillance

To protect our employees, patients and visitors and to secure our practice premises, we use CCTV surveillance. Footage is recorded both inside and outside our practice premises for security purposes. We handle this footage carefully and take appropriate measures to protect your privacy.

Use of third parties for data processing

In some cases, we use external parties to process personal data, for example for hosting or IT services. These processors work under strict conditions, and we enter into data processing agreements to ensure that your data is protected.

Retention of personal data

Your personal data is retained for as long as necessary for the purposes described above and within the statutory retention periods. Medical data is retained for 20 years under the Medical Treatment Contracts Act (WGBO), while financial data, such as payment information, is subject to a statutory tax retention period of 7 years.

Keeping your data secure

Shaam Dental Clinic takes appropriate measures to keep your data secure and minimise risks such as misuse, loss or unauthorised access. Only employees who need this information for their work have access to it, and they are bound by confidentiality.
